Google Cloud Directory Sync (GCDS) enables administrators to synchronize users, groups and other data from a local Active Directory service to a Google Cloud domain directory. This allows the school to maintain Active Directory as the single master directory and manage G Suite accounts using the toolset and applications they are familiar with. If the school is also using other cloud services such as Microsoft Office 365 this can be the first step to a unified Single Sign On (SSO) solution. The ability to manage the user directory from a single point ensures a consistent experience for both staff and students and can be a real time saver for the administrative team.

The G Suite platform provides a comprehensive set of security features but because of the wide variation across organisations, these are not always set by default. This is particularly true when considering functions such as access to calendar information, sharing a data to users outside the organisation and email routing from user accounts.

In this situation it’s unlikely that the security profile for a large enterprise would be appropriate for an education customer. XMA will examine your G Suite tenancy and check each setting with the advised value in line with Googles recommendations and the EUD Security Guidance for Chrome issued by GCHQ while taking into account the operational and teaching requirements of their organisation and its commitment to a safe user environment.

The process also examines how the institution is using Google Vault and whether the document retention policies are in-line with the schools GDPR strategy.

There is an increasing momentum behind migrating from local user accounts held in Active Directory to cloud directory services such as Google Suite and Microsoft Azure AD. Where organisations have moved directory services to Azure AD through the use of Office 365, XMA can offer a tested solution to synchronize account information between Azure AD and Google G Suite without any dependency on local servers or systems.

Once in place organisations can decide to use Azure AD as the primary source for user account authentication. Users can login to G Suite resources such as G Mail, Google Drive and Chromebooks using the same username and password they employ for Office 365 providing a better user experience and reducing the administration overhead.
